Booking Conditions - Services & Payments

 

1. Enrolment:

We emphasise the importance of making a booking at the earliest opportunity. A booking is confirmed, and then these Terms shall apply when the client receives written confirmation of their travel itinerary. We strongly recommend that you make no travel arrangements to your point of departure or incur any costs in respect of visas or vaccinations until such time, as your travel itinerary has been confirmed. If you make such arrangements which you are then unable to use, due to a change in your itinerary, we shall not be liable to you for the cost of those arrangements.

2. Payment:

A deposit of 15% is required within 7 days of receipt of an invoice from one of our advisors. Full payment for the trip should be received by 30 days prior to the trips commencement. In the case the invoice is issued later than 30 days prior to the trip, payment must be received within 7 days of receipt of the invoice. Payment instructions are included on each invoice. We request that you send us a copy of the transfer order. Where there are bank or credit card charges, you must cover these.

3. Re-booking

For our fixed-date tour departures, the day-to-day agenda and ultimate goal of the trip are taken as aims and not as contractual obligations. It is a necessary condition of your joining any of our advertised holidays that you accept this flexibility. Occasionally, we may have to make changes and we reserve the right to do so at any time. Most of these changes will be minor (including change of hotel) and we will notify you of them at the earliest possible convenience. In the case of such changes, there is no entitlement to cancel without penalty. 

If you have a complaint about any of your trip arrangements, you must tell both the relevant supplier and our representative at the time, so that a prompt solution can be found. SC Travel Adventures assumes no liability for complaints that are not reported with sufficient notice to find a resolution to the problem. In this instance, no reductions or refunds will be given.

4. Changes

Up to 31 days before departure we will try our best to consider any changes you wish to make to a confirmed trip. We will do our utmost to confirm any requested changes but we can't guarantee the fulfilment of such requests. Rebooking fees may also apply.

5. Cancellation

You, or any member of your party, may cancel your travel arrangements at any time. Written notification from the person who made the booking must be received at our offices.

Cancellation charges as shown below will be applicable.

  •  Cancellation up to 30 days before commencement: 20% of total fees
  • Cancellation between 22 and 29 days before commencement: 30% of total fees
  • Cancellation between 15 and 21 days before commencement: 40% of total fees
  • Cancellation between 7 and 14 days before commencement: 50% of total fees
  • Cancellation between 1 and 6 days before commencement: 70% of total fees
  • Cancellation on the day of departure: 80% of total fees
It is strongly recommended that you take out full insurance, which includes cover, under certain circumstances, against the loss of deposit or cancellation charges. In the case that your cancellation is covered under the terms of your insurance policy, you may be able to reclaim these charges.

6. Insurance

All travellers must be covered by adequate insurance for the complete duration of their trip. This insurance must include cover for; medical expenses, injury, death, cost of repatriation and evacuation. You and your belongings are at all times solely at your own risk. You are responsible for arranging, and must have, a valid, acceptable passport and any visas and vaccination certificates required for your entire journey and trip. We do not accept any liability if you are refused entry onto any transport or into any country, due to failure on your part to carry all required documentation.

7. Promotional Images

By booking with SC Travel Adventures, you agree that any likeness or image of you secured or taken on any of our trips may be used by the company without charge in all media (whether now existing or in the future invented) for bona fide promotional materials of any kind, such as brochures, website slides, video shows and the internet.

8. Liability

Sprachcaffe Travel Adventures is not responsible for any expenses, damages or losses which arise as a result of actions by; the client, a third party unconnected with the provision of the travel arrangements and where the failure is unforseeable or unavoidable; or unusual and unforseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised; or an event which we or our suppliers, even with all due care, could not forsee or forestall.
